Provide specific background information that informs the board of the details, past and present, surrounding your proposal. It is better to tell it all and tell it early than surprise board members with new information at the board meeting.

Specifics
Provide specific information that will help the board understand your request.
For example, when submitting a Comp Time Payoff Request include:
Agency Identification
Date Submitted to the Board
Employee Name
Employee Position
FLSA Code
Reason for Request (Be Specific and Detailed)
Pay Rate or Salary
Total Hours Requested
Total Cost (Pay Rate x Total Hours Requested)
Dates the Hours Were Incurred
PCN #

Supporting Documentation
Include relevant statutes, laws, correspondence, policies, etc. that support your proposal.

Reasoning
Provide reasoning that will justify approval by the board.

Timeline
Provide a timeline that specifies when the request needs approval and what will happen if/when it is approved.
