Subject:Social Security Numbers in IBIS

Because of the increased need to provide secure and protected data the State Controller's Office has updated the data fields in IBIS relating to Social Security Numbers (SSN). There are now two different Social Security Number fields in IBIS.

1. Partial SSN – last four digits of SSN
2. Full SSN – all nine digits of SSN

The partial SSN will be available to all IBIS users who have Division Statewide Payroll IBIS non-confidential access. The full SSN will only be available to users who have Division of Statewide Payroll IBIS confidential access. As a reminder, the security authorization form has the various access levels that a person may be granted by their agency authorizer.

If you currently only have non-confidential access to DSP and would like to have access to the full SSN then please fill out the security authorization form and request the confidential access.

Reminder: Payroll Earnings and Deduction information is now available for agencies to use in IBIS. Security authorization is also necessary for these two new data areas because of confidentiality.
