Subject:Modifications and Enhancements to IPOPS

Modifications have been made to IPOPS and will be placed in production status today (December 8, 2006 (Available for your use on December 9, 2006). Some information regarding the modifications are listed below. The documentation has been completed and is now available via IPOPS ‘help’.

The DSP simulation staff will be testing these modifications on Saturday, December 9, 2006. No downtime is anticipated. However, you may experience intermittent interruptions in processing during the testing phase.
    • New Personnel Action (SSN Change) – The Social Security Number change action replaces the paper form EIS-123. The paper form will no longer be accepted. It is important to insure that the new SSN is correct. Therefore, you will be asked to verify the information prior to submitting the form.
      NOTE: A SSN change cannot be completed if there are any current or future Payroll/Personnel actions in process. This check is made on a statewide level. An error message will inform the originator of the unprocessed action(s).
    • Warning Message on New Hire/Rehire Actions – To insure the social security information is correct, you will be asked to verify the SSN entered prior to coding the action.
    • New Hire, Rehire, and Position Changes – To insure all new hire and transfer employees receive their SCO Log-on information as quickly as possible, a modification has been made to process all new hire, rehire, and position changes when the action effective date is equal to the calendar date match. Example: New hire effective date = 12-08-06 would be processed today (12-08-06)
      NOTE: BSU, ISU, and U of I actions were excluded from this modification.
    • View on Self-Service Actions – A modification was made to add the effective date of actions created via Employee Self-Service. This will allow the employee/originator to see when an action will take effect, without opening the document.
      If the employee creates the action:

      Employee will see the dates as follows:

Direct Deposit Pay Date
Employee Voluntary Deduction Pay Date
Name Address Change Actual Date employee chose

      IPOPS originator will see the dates as follows:
Direct Deposit Pay Period Begin Date
Employee Voluntary Deduction Pay Period Begin Date
Name Address Change Actual Date employee chose
      If the IPOPS Originator creates the action, the view has not changed and will be as follows:
Direct Deposit Pay Period Begin Date
Employee Voluntary Deduction Pay Period Begin Date
Name Address Change Pay Period Begin Date
    • New Employee Self-Service report – In addition to adding the dates to the Employee Self-Service View, a new Employee Self-Service report was created on IPOPS for the agency UPA (User Profile Administrator) to see all of the Employee's Self-Service Settings.
