Correcting Time Sheets

Making Corrections to Time Sheets Before the Payroll Process

An Employee, an Approver, a Time Entry Assistant (TEA) and the Central Payroll Officer (CPO) can make changes or corrections to a time sheet.

Employee:

Time sheets will remain in an edit mode for the employee until the document has been approved or the review process is complete.  The employee should open the time sheet and make any corrections or changes using the same procedures for entering time.  Employees can 'Save' or 'Submit' changes made to their time sheet.

If a line is entered in error and needs to be deleted, check mark the 'Select To Delete' box next to that line.

Time codes can be corrected by re-selecting an earnings code.

Correct hours by clicking in the appropriate box, deleting the current information and typing the correct number.

Make your correction by typing in the correction or selecting it from the drop-down menu.

Click either 'Save' or 'Submit'.

Approver or a Time Entry Assistant (TEA):

Next to each employee it will say either 'Create/View Time Sheet' or 'No access to open timesheet at this status'.  There may also be an approve and disapprove button displayed.

To make a change or add time, choose 'Create/View Time Sheet'.

A time sheet for that employee will open and you will be able to make changes and/or enter time.  Time entry and corrections are done in the same manner as when entering and creating your own time sheet.  You will also have override capabilities for Overtime and Shift pay, if the employee is eligible.

Differences as the Central Payroll Officer (CPO):

The CPO has the option to choose a specific employee from the drop-down list by name or social security number.

If an entire Time Entry Location (TEL) is selected, the procedure described above should be followed.  The CPO will have access to the time sheet in any status.
