Position Remarks

Purpose: Use the Position Control Remarks for an action that cannot be completed with a regular change reason on IPOPS.  This will communicate to the Division of Statewide Payroll (DSP) that a correction or update needs to be done.
 
This action may be used by an agency to request corrections to an Effective Date, FTE, etc.
 
There is not an IPOPS action that can be used to update the Position Control Budget Information.  There is also not a way for the State Controller's Office to make this update to a position. If the employee is set up with the correct pay rate, the position control budget information will update automatically at Fiscal Year End.  
 
Pay locations cannot be changed using the Position Control Remarks action.
 


 
 
FILLING OUT THE FORM
 
Effective Date - The system will populate this field with the current date and cannot be changed by the user.
 
Remarks - (Mandatory) Add a detailed description of what needs to be corrected or deleted.  Remarks added will show on the IPOPS document only. The number of characters is unlimited.



Routing Information:
A completed document may need routed to an Internal Approver and Agency Authorization. The ‘Send’ drop-down list in the top frame will display a list of approvers.  When an Internal Approver has reviewed a Remarks action, they may choose to ‘Disapprove’ or ‘Send’ the document to the agency authorizer.  An approved document will automatically route to DSP for approval and processing.  DSP has the ability to send this document to the Division of Human Resources (DHR) or to Division of Financial Management (DFM), who can add comments and approve/disapprove the action.
When a document has completed the process, the 'Document Status' will be ‘Executed’ and then ‘Archived’.
